Import your current data!
When changing to a new system we think that your data should come with you. We have successfully imported data from many different databases and are confident that we can do this for you.
Generally we import all your funeral and related data. Invoice data is not possible and, from the feedback that we have had from clients, not required when changing to FreeDAM. The historic value of being able to look up previous cases in FreeDAM is the primary concern.
Register Deaths Electronically

We will be adding additional Australian states soon. FreeDAM captures the required death registration details, screens it for data that would not be accepted and then creates a text file on the desktop that can be uploaded to BDM.
Single or multiple deaths can be registered in one file.
We have worked extensively to ensure that if FreeDAM allows a file to be generated then it WILL upload.
FreeDAM is Future proofed and already uses a SQL Database
FreeDAM puts the most important information at your fingertips with its powerful, easy to use search and retrieval functions. FreeDAM keeps every inch of your data, safe secured, and ready to use.
FreeDAM accesses a SQL database that may be hosted on a computer
- within the physical premises of a funeral home
- at a remote location (i.e head office)
- or on a remote server within a data centre
Where ever the database is hosted Freedom Software ensures that data dumps are being carried out regularly and that these are backed up. Data is preferably backed up off site – to prevent loss through fire or theft etc).
Freedom Software does not access your client data. Your data is your business not ours. We simply provide you the ability to store, retrieve, manage and report your data. During remote support sessions we only see the same information that you can see via the screen share which can only be authorized by you with a one use only password.
You can give database access to any number of users within FreeDAM. It’s completely up to you to specify who they are, but there is no limit on the number. Your FreeDAM database can be accessed from within a local area network or via the internet from a remote location. Administrator users can disable other users’ logins, revoke access and adjust permissions at will.
FreeDAM will produce the Cremation paperwork required in order for the cremation to take place. These include Form F, Form H and Form A. Generally clients do not use FreeDAM to fill in the Form A as this is done at the time of the interview before the funeral has been input into FreeDAM, however this may change in the future as it could be done at the interview.
FreeDAM contains all the local council burial warrants and applications for your area. FreeDAM will place data, ticks and circles on the reports so that you never have to fill these documents in by hand again.
As the various authorities update their documents so do we – just drop us a line with the new document attached and we will update it in FreeDAM.
As we do business throughout New Zealand the burial documents for any cemetery is available to you when required.
FreeDAM can store the newspaper notices that pertain to each funeral.
Not only can FreeDAM store them, but FreeDAM can help create the notice. FreeDAM can construct the wording for newspaper notices from the information already entered for the funeral – saving time and minimising typing errors.
Storing the newspaper notices in FreeDAM means that they can be reviewed on the phone app when you are out of the office and they can be uploaded to your own company website.
FreeDAM is designed to take care of the details that can often be overlooked, such as the personal effects of the deceased. We know that these details are often extremely important to the family so FreeDAM provides the facility to keep them in order.
The embalming section of FreeDAM can record items that:
- arrived with the deceased
- are supplied by the family
- are supplied by the funeral home
- the deceased was dressed in
- have been disposed of
- have been returned to the family
A full report of personal effects can be also be compiled and printed for the family. FreeDAM will produce and print a full mortuary report including embalming details such as concentration and amount of fluid used in the process. Councils may require some of these details in the future. A ‘No Embalm Waiver’ can be printed for the next of kin to sign.
FreeDAM gives tremendous scope to customise funeral documentation to fit your business identity including company logos and/or formatting documents to fit your company letterhead. FreeDAM can print out Funeral Celebrants cards, Envelopes, a BDM39 – Transfer Charge of Body, Donation box labels, Death certificate proofs, Embalming reports, Personal effects receipts as well as any burial warrant required and cremation form H and form F papers.
FreeDAM produces a beautiful invoice and Freedom Software customises documentation free of charge. As council documents and other official documentation change with regulations Freedom Software also updates these at no extra cost to you.
FreeDAM has worked with Funeral Studio to allow funeral data already entered into FreeDAM to be easily uploaded to Funeral Studio.
Funeral Studio specialises in contemporary ways for families to remember their loved one through products such as eTributes and Printed Materials.
The key features of a Funeral Studio eTribute are:
- Name of deceased and their date of birth/death
- Funeral location, date/time including Google Maps link
- Ability to link to nominated charity for donations
- Display family tributes or eulogies
- Family and friends have the ability to write messages of condolence, post a Symbol of Love or Expression or view the Memory Timeline.
- Upload Printed Materials, DVD Tribute or Funeral Recordings
- Stream a webcast of the deceased’s funeral to the deceased’s Social Media sites, including Facebook, Twitter, Instagram and Pinterest

FreeDAM makes ordering an eTribute or printed material for a service easy and will send the order directly to Funeral Studio for you.
FreeDAM has worked with heavenaddress to allow funeral data already entered into FreeDAM to be easily uploaded to the heavenaddress website as a tribute.
FreeDAM has worked with Tributes Online to allow funeral data already entered into FreeDAM to be easily uploaded to the tributes website.
Tributes Online is a safe, secure website where funeral notices, personal comments, photographs, photo presentations and personal histories can be placed as a memorial to a person who has died.
A tribute page on our website allows you to convey information about funerals to family and friends anywhere in the world. All comments and images are checked by the funeral home or tributes administrator before being uploaded to the website to ensure all content is appropriate.
Each tribute page has a tribute book where messages can be read or added to the book at no cost. You can include eulogies and speeches read out at the funeral service or tributes that have been sent to you.
Tribute pages and books can be printed by family and friends at any time.
Accurate and convenient storage of cremated remains is one of most important parts of a funeral home’s business and without a robust system to take care of it, things can go very wrong. FreeDAM has a highly reliable Ashes Management system that can be set to require ashes to be signed in and out. It lists all ashes that are held at the company premises. In the cases where ashes are either interred or scattered FreeDAM will print out the appropriate documentation.
Invoicing families shortly after the passing of a loved one can be a very difficult task, and needs to be handled with the utmost care and respect for the client. FreeDAM’s intuitive invoicing is very quick and very easy to use. It gives the customer a complete breakdown of cost including clearly, respectfully articulated payment terms and conditions using visual prompts that draw across real data into the invoice.
Using specific case information stored in the database FreeDAM compiles completely personalised, accurate invoices and automatically composes the invoice header without having to type everything manually. More than simply saving time, it removes much of the margin for human error. Invoices are very flexible and can include:
- A professional service fee
- Other additional service fees that can be tagged to specific sales accounts for easy breakdown and analysis e.g. embalming, travel etc.
- Casket Fee
- Urn Fee
- Additional Merchandise i.e grave markers, lockets etc.
- Disbursements – which deal with no GST items very well.
Invoicing preferences can also be set to include discounts with expiry dates, No discount, or Account Finance Charges. The most remarkable aspect of FreeDAM’s intuitive invoicing capability is just how easy it is to use.
Full preparation and complete attention to detail are basic requirements for funeral home businesses. FreeDAM’s clearly designated Pre-need and Pre-paid funeral management area helps take care of this enabling users to fully manage and retrieve cases information well in advance. Users enter cases in the pre-paid or pre-need area and fully capture any information that has been supplied including B.D.M. and funeral details.
FreeDAM is able to construct templates and save any documents/contracts for a Pre-paid or Pre-need case, deposits and interest can also be recorded against a Pre-paid case with up to date balances kept. When a pre-need or pre-paid case becomes current (i.e. the person passes away) their information is transferred to the company’s current cases at a push of a button. Pre-paid and Pre-need cases can be mail merged very simply. FreeDAM searches and matches up pre-paid with pre-arranged funerals helping keep your database lean and clean.
FreeDAM can manage a crematorium either as a separate stand-alone company with a completely separate set of financials and database or as a fully integrated part of your funeral home business. The Crematorium section of FreeDAM can record gas usage, weather conditions, medical referees and will also take care of invoicing.
FreeDAM helps make sure that correspondence, information and data is received exactly as you have sent it. Sending spreadsheets or word documents outside of the company transports sensitive data in a volatile format. It’s never fully secure and can be corrupted en route or altered upon receipt. FreeDAM’s lets you take a “snapshot” of any document or any report you wish to send and saves it as a PDF file removing the risk of data corruption or misuse. This includes burial warrants, receipts, financial reports, invoices and any document featuring the company letterhead. Whenever a PDF is created in the system FreeDAM automatically makes a permanent note and saves it to the relevant case recording what has been printed or saved to PDF.
With FreeDAM, Funeral Home managers and owners can track all financials in real time at a glance. FreeDAM fully integrates double entry accounting.
When cases are invoiced and the invoice is ‘posted’, the values automatically show on the profit and loss statement. When a receipt is generated within FreeDAM it automatically shows in the bank balance. The account side of FreeDAM has full capability to:
- Handle GST on an invoice or payments basis.
- Run a complete general ledger.
- Run a complete creditors ledger.
- Save bank reconciliation’s.
- Compile a daily banking schedule.
- Process batch payments and create a desktop banking file.
- Run monthly statement interest and print monthly statements.
- Produce full GST, Profit and Loss, Trial Balance, Balance Sheet, Account Activity, Journal Entries, Cheques, and Payments reports.
Monthly Statement Interest
All debtors are not created equal! FreeDAM knows this and understands that some accounts will be accruing interest and others won’t. FreeDAM can set the monthly statement for interest on a case by case basis. Each case/debtor receives the standard company interest rate upon entry into the database. Individual debtors’ interest rates can then be adjusted or even set to zero. While interest on overdue accounts can be run each month FreeDAM will compile a list of those debtors that meet the add-interest criteria. Those debtors who don’t meet the add-interest criteria can easily be removed from the list before interest is added.
FreeDAM adds another level of security, accountability and consistency by allowing you to customize permissions specific to each individual user rather than restricting you to broad levels of user permissions. FreeDAM lets you decide exactly how much users see and who has access to what parts of the system.
Using an overview ‘Map’ of all the available screens within FreeDAM, Owners / Super-Users drag and drop selected screens of FreeDAM onto a particular staff member’s ‘Map’ to give that staff member access to those areas. When that staff member logs in to FreeDAM they can only see their own access ‘map’ of the system. Staff members may not even be aware that FreeDAM has other areas that they are not privy to.
In addition, within some sections of FreeDAM there are additional levels of permission, permissions within permissions. For example a user may be able to insert a receipt and so has the receipts screen in their map. But, they might be denied permission to delete a receipt. This level of detail makes for a very secure environment with Funeral Directors, Embalmers and administration staff restricted to just the areas that they need to access.
There are a huge number of variables and contingencies to be taken in to account in the business of funerals. FreeDAM incorporates and helps to manage this with great within its extensive set of preferences. Preferences can be set and customized by us on installation and made available to selected users in your company for adjustment and easy data entry. However, when we do the initial setup we make sure to customize preferences so that the software performs well for the team.

FreeDAM has capability to manage discrete databases for business running more than one company. There is no limit to the number of companies you can access through FreeDAM. For example, where a company runs a crematorium as a separate business, FreeDAM will manage the crematorium as a stand-alone business or as a addition to the funeral home. We already have clients running several companies that switch identities on the login screen to administer different companies as required.
In large organizations with multiple companies:
- Alternatively we can create a master application that will gather financial information from all the FreeDAM databases. This application only needs to be installed once at head office to be accessed from any machine with internet access by any user with a secure password.
- If there is a particular method that your organization prefers to use when accessing company-wide information we can work with your business to custom design a solution.
It doesn’t matter where you are or how many offices your business operates from, FreeDAM keeps your data and logistics consistent across the whole company in real time. FreeDAM can run multiple locations just as easily as single locations.
For example, let’s say “XYZ” Funeral Home has a head office in Central Wellington and satellite offices in Lower Hutt and Upper Hutt. When a death occurs and “XYZ” Funeral Home is called by the family or caregivers of the deceased, the case can be assigned to any one of these locations. Staff working at the satellite offices can be given permission to see and action only the cases at their location or cases company wide. FreeDAM keeps the whole company on the same page and keeps team members on their own page!
We use a custom made module of ‘Team Viewer’ to provide remote support. Clicking the ‘Start Remote Support’ button’ (bottom left of every screen) will activate a request to us for to share your screen for the duration of the help session.
The system will request that you provide us with a unique one-time password so we can share your screen, and assist you with your issue. We will not be able to access any part of your system, or share your screen in anyway outside of help sessions requested and activated by you. When the help session is over, the password expires and we have no further access unless requested and activated again by you. FreeDAM’s remote support function is totally free for any staff member using the software. This means no unexpected bills from us in the future.
FreeDAM is able to store with the funeral data any associated files.
Gone are the days where for every funeral there is a folder on one of the computers that contains images of the deceased and pdf’s of the service sheet. Just store them all in FreeDAM for retrieval at any time in the future.

The images can help put a face to a name and can be used for integration with other services. Although file size has been restricted (5 MB) images are able to be included on reports, retrieved at a later date for inclusion in page payout software or printed straight from FreeDAM.
